NailWhale

Operations CRM for contractors

Every job, from the first phone call to the final payment, in one pipeline.

NailWhale is the system your crew will actually keep up to date. Drag a job from estimate to sold to done, and carry the proposal, the payment schedule and the invoices along with it - instead of holding all of it in your head.

Unlimited users. We set your company up personally. See what is included

You already have a system. It is just not written down.

The whiteboard is the only place the whole schedule exists, and it is in one building.

A deposit invoice goes out late because the only reminder was somebody remembering.

A job has been sitting at "waiting on the permit" for five weeks and nobody noticed.

The estimator asks how the last deck was priced, and the answer is in an old email.

The foreman texts photos to a phone number, so they are not on the job at all.

Two people call the homeowner about the same change order in the same afternoon.

None of that is a discipline problem. It is what happens when the pipeline lives in people rather than in one place everybody can see.

What you get on day one

Not modules to buy later. This is the product.

  • A board you drag jobs across

Columns are your stages, not ours. Drag a job from Estimate to Sold to Construction and everyone sees it move. Every card is a real link, so you can open two jobs side by side.

  • Checklists that fill themselves in

A deck is the same eight tasks every time. Save that checklist once against the job type, and every new deck arrives with the tasks already on it.

  • Proposals with your logo on them

Build the scope and the price inside the job, then produce a proposal PDF under your own company name and logo. The homeowner never sees ours.

  • Payment schedules that reconcile

Deposit, halfway, final - by percent or by dollar. The job tells you what is scheduled against the contract price and what is not, so a milestone never quietly goes unbilled.

  • Invoices and payments on the job

Invoice a milestone, then record what came in and against what. The money and the work live on the same record instead of in a separate accounting island.

  • Photos and files where the job is

Site photos, permits and signed paperwork attach to the job itself - not to a text thread on someone's personal phone.

  • Your whole crew, no seat count

Office, estimators, foremen - everyone gets a login with the access their role needs. Adding a person never costs anything, which is the only way the field data stays current.

  • Search, and one digest a day

Find a job, a client or an address from anywhere. Anything assigned to you or waiting on you arrives as a single email a day, not a notification every ten minutes.

We set your company up ourselves. Every single customer.

Buying software is not the hard part. The hard part is the Monday three weeks later, when half the jobs are in it and half are still on the wall, and it is easier to go back to the wall.

So we do not hand you a login and a help centre. We sit down with you, build your stages and job types out of the way you already describe a job, put your people in with the right permissions, and enter real jobs together until the board looks like your actual week.

It is the part of $699 a month that a company with ten thousand customers cannot sell you at any price.

  1. 1You buy. You are in immediately. Nothing is gated behind waiting for us - sign up at eleven at night and you are working that night.
  2. 2You book the call. Straight after checkout, on the calendar, at a time that is not the middle of your day.
  3. 3We build it with you. About 90 minutes. Your stages, your job types, your checklists, your crew, your first real jobs.
  4. 4We stay reachable. The first month is when the questions actually arrive. You email a person, not a ticket queue.

One price. Everybody in the company.

No tiers to compare, no per-seat arithmetic, no quote to chase. The number beside this is the number.

Our first 10 customers are founding members: the $1,500 setup fee is waived, and the monthly price is the same one everybody else pays - so there is no renewal cliff waiting for you next year.

Questions we get asked

Do you charge per user?

No. One price, unlimited logins. If adding a foreman cost money the foreman would never get added, the field would stop entering anything, and the pipeline would go stale - so per-seat pricing would break the product, not just the invoice.

What is the setup fee for?

We build your pipeline with you: your stages, your job types, your task checklists, your people and their permissions, and your first real jobs entered together. It is a working session, not a training video. The fee is $1,500, and it is waived for our first 10 customers.

How long until we are actually using it?

You get access the moment you pay - the setup call accelerates you, it does not unlock you. Most of the configuration that matters is done inside one 90-minute call, and you can keep changing it afterwards.

Do we have to change how we run jobs?

No. Stages, departments and job types are all yours to name and reorder. We ship a sensible starting set for home-improvement work, then bend it to how you already describe a job.

Is our data separated from other companies?

Yes, and it is enforced by the database itself rather than by application code remembering to filter. Every record carries the company that owns it, and the rules that gate access live next to the data.

Can we cancel?

Month to month. You manage the card, the invoices and the cancellation yourself through the billing portal - there is no retention phone call to get through first.

Get your pipeline out of your head and onto one board.
